Tenants Applications, Instructions and Fees

The following information is given for your guidance and contains all the relevant requirements expected from prospective tenants should you wish to proceed with letting a property with Spruce Tree Lettings Ltd.

All fees shown are inclusive of VAT.

Credit checks and references

It is a requirement that we take up references on all adults who are letting the property through our agency. These are to include:

  • A full credit search
  • Employment reference
  • Previous landlord/managing agent reference.

Please be aware that in order to pass our referencing criteria, ideally you should be in permanent employment and annual income must exceed 30 x the monthly rental, eg for a property at £450pcm, annual income must exceed £13,500.00.

Should your particular circumstances be different to the above, for example you are in receipt of housing benefit, please get in touch to discuss your options with a member of the team.


All tenants are expected to either have a homeowning guarantor or to pay 1 (one) month’s deposit.

How to apply

You should fill out a standard application form (or apply online via our website ) and send it to Spruce Tree Lettings Ltd.

Application Fees are non-refundable

To secure the property

For us to take a property off the market you need to pay the relevant application fee and the holding rent (half of one month’s rent). The holding rent is non-refundable (as should you withdraw it would cover our administration costs associated with re-advertising the property) and have passed the credit checking and referencing process.

Tenancy set up fees

Subject to contract and once all the relevant references have been approved, a tenancy commencement date will be arranged. An appointment will be made for you to meet us on or just prior to your move-in day, to pay the following monies:

  • The outstanding part of the first month’s rent in advance
  • One month’s rent plus £100 for deposit/bond OR a homeowning guarantor
  • A tenancy check in fee of £120.00 (inclusive of VAT).

The inventory clerk will accompany you to the property to do a formal check-in. This will include an inventory assessment and handing over of the property keys, which have been provided by the landlord.

Prior To Check In

The first month’s advance rent and the dilapidation deposit is payable either before or on the day of your occupation, providing the money is paid in the form of cleared funds – or else you will not be able to move into the property.

All cheques/drafts should be made payable to ‘Spruce Tree Lettings Ltd’, unless advised otherwise by us.

Check in

All tenancies are subject to satisfactory references, holding rent and application fees paid, all parties have agreed a move-in date and your ‘inventory’ check in. Identity and proof of address checks will be undertaken in line with current money laundering legislation.

Please be aware that if you decide not to proceed with the rental of the property you will forfeit the holding rent to cover administration charges in order for us to re-advertise the property and amend the legal documentation and appointments accordingly.

Tenancy renewals

Should both parties agree to renew the existing tenancy agreement for a further fixed term, charge will be made to the tenant for the sum of £48.00 (inclusive of VAT).

Payment methods

Note that cleared funds must be received prior to you moving in. We accept cash, cheque and payment by debit and credit card. Credit card payments attract a fee of 3%.
